Working Group Speaker Guidelines

External Speaker Presentation Guidelines

To help us create a useful and engaging experience for participants, we ask external speakers to share presentation materials in advance of their session.

Please submit your presentation at least [X business days] prior to your scheduled session.

Materials will be reviewed by the program team to ensure alignment with the session objectives and audience, identify any confidentiality or content considerations, and allow adequate time for any necessary revision.

As you prepare your presentation, please keep the following in mind:

Audience and relevance
Please tailor your presentation to the audience and the objectives shared with you by the program team. We encourage practical examples, lessons learned, and opportunities for discussion and peer exchange.

Educational vs. promotional content
Presentations should primarily be educational and should not serve as a sales or promotional presentation. References to your organization, products, or services are welcome when they directly support the topic.

Confidentiality and privacy
Please do not include confidential, proprietary, privileged, personally identifiable, or otherwise restricted information unless you have appropriate authorization to share it.

Third-party materials and attribution
Speakers are responsible for ensuring they have appropriate rights or permission to use images, research, case studies, videos, data, and other third-party materials. Please provide attribution for external research, statistics, quotations, and other sources where appropriate.

Professional and inclusive content
Materials should be appropriate for a professional and diverse audience and consistent with an environment that encourages respectful discussion and exchange.

Technical requirements
Please provide materials in [PowerPoint/PDF] format and let us know in advance about any embedded media, live demonstrations, internet requirements, special fonts, or other technical needs.

Program review
The program team may suggest reasonable edits or request additional context to ensure that materials align with program objectives, audience needs, confidentiality requirements, and these guidelines. If you make significant changes after submitting your presentation, please let us know.

Distribution and recording
[Presentations may be shared with participants following the session.] Please identify any materials that should not be distributed. [Sessions may be recorded; speakers will be notified in advance and appropriate consent will be obtained.]
